Privacy Policy

1. Data Collection

Monophone is designed with privacy at its core. We do not collect, sell, or share your personal information with advertisers, data brokers, or any third party for marketing purposes. Unless you choose to create an account and opt in to specific features, we do not collect any personal information from your device.

The only data we collect is the following, and only when it is needed for the feature you are using:

  • Account information (if you create an account) - Your name, email address, and a password. Your password is never stored in plain text; it is encrypted (hashed) before it is saved, and we can never read it.
  • Device identifier - A randomly generated device ID is used so that features such as cloud sync work reliably. It is not linked to your identity and cannot be used to identify you personally.
  • Focus time (only if you opt in to social groups) - If you choose to join or create a focus group, your focus time and the name you use are visible to other members of that group so the group leaderboard can work. This is strictly opt-in and can be turned off at any time.

Beyond the above, Monophone does not collect any other personal or usage data. Your focus history, day planner, preferences, and other app data are stored locally on your device and remain under your control.

2. Permissions

Monophone uses a small number of Android permissions to function as a launcher and provide our focus features. Here is exactly what each permission is used for:

  • Usage Access (App Usage) - To show you your app usage and distraction time, so you can understand and manage how you spend time on your phone. This information is read and displayed entirely on your device.
  • Notification Access (Notification Listener) - To silence app notifications during your focus sessions so they don't interrupt you.
  • System Alert Window (Overlay) - To display blocking overlays when a limit or block you have configured is reached.
  • Accessibility Service - Used for two purposes: (a) to let you double-tap to close/lock the screen, and (b) to block short-form content — such as YouTube Shorts and Instagram Reels — that you have chosen to restrict in the Blocker screen. This service only becomes active for content or actions you have explicitly configured, and all processing happens locally on your device.
  • App List (Query All Packages) - To show and launch your installed apps in the launcher.
  • Microphone (Voice / Speech-to-Text) - Used only for optional voice input in the AI scheduler (for example, scheduling tasks by speaking instead of typing). When you start a voice command, audio is captured only while you are actively recording and is transmitted solely to Google's Gemini API to transcribe your speech into text. The audio is never recorded in the background, is not stored on your device after it is processed, and is not used for any other purpose. Voice input is optional, is only ever requested when you initiate it, and can be disabled at any time.
  • Internet - Used only for optional features you opt in to, such as cloud sync and AI scheduling. No data is transferred unless you use those features.

Importantly, none of the data these permissions can see is collected, stored, or shared with Monophone or any third party. It is processed entirely on your device. We never access content you haven't explicitly allowed. All permissions are optional and can be granted or revoked at any time from your device settings.

The only exception is voice input for AI features: if you choose to use voice-to-text, that short audio clip is transmitted to Google's Gemini API — as described above and in Section 5 — solely to transcribe your command into text, and it is not used for any other purpose.

3. Bring Your Own Key (BYOK)

Monophone lets you bring your own API key (BYOK) to power optional AI features such as the AI Task Scheduler. Your key is treated with the highest care:

  • Stored locally only - Your API key is stored only on your device and is never sent to Monophone's servers.
  • Encrypted at rest - Keys are encrypted on your device using the operating system's secure keystore (Android Keystore via encrypted storage).
  • Never shown in full - Keys are masked in the app interface and are never displayed in full.
  • User-controlled - You can add, replace, or remove your keys at any time from Settings, and you can disable AI features entirely without affecting core functionality.

BYOK is fully optional. If you do not add a key, you can still use all core app features.

4. Data Storage

Your data is primarily stored locally on your device. If you opt in to cloud sync or join a focus group, the relevant data is encrypted in transit and stored securely on MongoDB Atlas servers. We do not sell your data. Data is shared only with the service providers described in Sections 5 and 6.

Data Retention

  • Local data: Retained until you uninstall the app or manually clear app data
  • Cloud data: Retained until you delete your account or request data deletion
  • User control: You can view or delete your data at any time from the Account screen
  • Deletion: Account deletion is processed within 30 days; backup data is purged within 90 days

5. AI Services and Third-Party Processors

Monophone uses artificial intelligence services to provide smart features like AI task scheduling and weekly planning. These features require sending certain data to third-party AI providers.

  • Google Gemini API - For AI-powered features

Data Sent to AI Services

When you use AI-powered features, we send the following data to our AI service providers:

  • Your messages and commands - Text you send to the AI scheduler assistant
  • Voice input (if you use voice) - When you record a voice command, the short audio clip is transmitted to Google's Gemini API to transcribe it into text. The audio is captured only while you actively record, is not recorded in the background, is not stored on your device afterwards, and is used solely to fulfil your command.
  • Conversation history - Recent chat messages for context
  • User profile data - Your persona, goals, subjects, and preferences
  • Task and schedule data - Existing tasks for scheduling optimization
  • Focus statistics - Usage data for progress assessments

Important Notes

  • All data transmitted to AI services is encrypted using HTTPS/TLS
  • AI services process data temporarily to generate responses and do not store conversation history long-term
  • Your API keys (if provided) are stored locally on your device and never sent to our servers
  • AI features are optional and can be turned off at any time by deleting your API key in the app
  • You can use all core features (focus tools, timer, planner) without enabling AI services

5.1 AI Content Safety & User Reporting

Monophone enforces safety filters provided by third-party AI models (e.g., Google Gemini API safety thresholds) to prevent harmful or offensive outputs.

In addition, Monophone provides an in-app reporting tool:

  • Reporting: Users can flag any AI-generated response directly within the chat interface.
  • Local Moderation: Flagged responses are immediately hidden from the user's view.
  • Feedback Loop: Reports are logged to review system prompts and improve safety filters.

We do not use advertising SDKs, sell your data, or share your information with data brokers.

7. Account Deletion

You are in control of your data. If you created an account, you can delete it and all associated data at any time.

  • In-app: Go to the Account screen to view or delete your data.
  • On the web: Visit our Account Deletion Request page to request deletion of your account and personal data without using the app.
  • Processing time: Deletion requests are processed within 30 days; backups are purged within 90 days.

8. Your Privacy Rights

Depending on your location, you may have the following rights regarding your personal data (for example under the GDPR or CCPA):

  • Access - Request a copy of the data we hold about you.
  • Correction - Ask us to fix inaccurate or incomplete data.
  • Deletion - Request that we delete your personal data.
  • Objection / Restriction - Object to or restrict certain processing.
  • Portability - Receive your data in a structured, machine-readable format.
  • Withdraw consent - Opt out of social features or delete your AI API key at any time in the app, or contact us by email for account-level requests.

To exercise any of these rights, contact us using the details below. We will respond within the timeframe required by applicable law.

9. Children's Privacy

Monophone is intended for users aged 16 and older. We do not knowingly collect personal information from children under 16. If you believe a user under 16 has provided us with personal information, please contact us and we will delete it.

10. Changes to Privacy Policy

We may update this privacy policy from time to time. We may notify users of any material changes through the app or website. Continued use of the app after changes take effect constitutes acceptance of the revised policy.
